Medical Records Manager – St. Paul, MN

 

Pay: $54,300 - $81,120 annually (experience will be compensated)

Schedule: Full-time, 40 hours per week

Shift times: Monday-Friday, 7:00am-4:30pm

Location: Vandalia Health Center, 671 Vandalia St, St. Paul, MN

Job type: Exempt

Travel: Occasional travel for in person, all-manager meetings to other locations in affiliate. (Typically twice a year, advanced notice given).

Minimum Qualifications:

  • Four years of experience working in a health care setting
  • Two years of supervisory/leadership experience
  • Experience working with confidential information
  • Must have the ability and willingness to travel as needed within PPNCS
  • Experience working with high risk or underserved populations (youth, women, minorities, LGBTQ, etc.)

 

Your Day-to-Day Responsibilities:

  • Directly supervises Centralized Services Associates and specialists providing patient support over the phone, managing medical records requests and prior authorizations, facilitating patient communication, and leading other central administrative activities to support health center operations.
  • Ensures timely response to Release of Information (ROI) submissions and other records requests and maintains designated customer service levels for all Medical Records team functions.
  • Interfaces with Patient Services leadership, Health Center leadership, and other departments to leverage the benefits of a centralized approach to patient care and continually audits health services operations to identify opportunities to centralize relevant activities to increase the patient-facing capacity of our health centers.
  • Builds relationships within the organization and works in partnership with Health Center managers, Patient Services, and Health Services leadership to find new ways for Medical Records to support PPNCS health centers and improve patient experience.
  • Maintains, updates, and improves the Centralized Services Knowledge Base System (KBS) and facilitates proper ongoing training and development for Centralized Services Associates. 
  • Participates in workgroups to ensure consistency and collaboration across Health Services, partners with other Health Services leaders to manage changes and implement process improvements.
  • Provides expert leadership to the Medical Records team and promotes a culture of teamwork and mutual support as a partner to other Health Services teams.
  • Supports and leads team through changes in the business. Serves as a role model to staff and peers in business ethics, integrity, customer service, and service recovery.
  • Responsible for the day-to-day management of all department activities. Monitors daily systems and procedures to ensure that employee performance and customer service remain excellent.
  • Takes proactive steps to resolve staff issues quickly and efficiently using ongoing, continual feedback
  • In consultation with Human Resources, responsible for staff performance plans and disciplinary actions.
  • Analyzes, prepares and submits all necessary reports and ensures that these reports are done accurately and in a timely manner. Submits additional reports as requested and meets deadlines.
  • Regularly conducts analyses of the department and creates measurable goals and objectives to ensure successful department operations and financial stability. Utilizing process improvement tools, implements activities to achieve department goals and objectives and evaluates results.
  • Works to advance all the medical services provided at PPNCS health centers including family planning, reproductive health services, abortion services, contraceptive services, vasectomies, and transgender care.
