A Brief Overview
The People Operations Specialist will play a crucial role in supporting the HR department's initiatives and functions within our healthcare organization. This position requires a versatile professional who can manage a variety of HR tasks, including recruitment, onboarding, inquiry management, benefits administration and compliance with healthcare regulations. The ideal candidate will have a strong understanding of HR practices, particularly in a healthcare setting, and possess excellent interpersonal and organizational skills.

Essential Functions

Recruitment and Onboarding: 

  • Work with hiring managers to define qualifications and expectations. Serve as a liaison between HR and hiring managers to facilitate the requisition process. 
  • Review resumes and conduct initial phone interviews to assess candidates skills, experience and cultural fit. Maintain clear and timely communication with candidates throughout the screening process. 
  • Manage and coordinate all aspects of the interview process, including scheduling interviews with candidates and hiring managers. 
  • Accurately calculate salary and compensation packages based on company policies. 
  • Facilitate the onboarding process for new hires, ensuring compliance with regulatory requirements. 
  • Lead and coordinate the entire I9 process.

Inquiry Management: 

  • Addressing questions and concerns from team members via case management system, phone or in-person. 
  • Deliver consistent, timely, reliable, accurate and effective results to all employees. 
  • Collaborate with other teams and/or departments to answer questions. 
  • Resolving issues within established SLAs.

Benefits Administration: 

  • Manage qualifying life events process and ACA eligibility. 
  • Administration of COBRA, Voluntary Benefits and Education Benefits. 
  • Assist employees with benefits-related inquiries and enrollment processes.

Compliance and Data Entry: 

  • Ensure adherence to federal, state, and local labor laws and healthcare regulations. 
  • Accurately enter and update employee information in the Human Capital Management (HCM) system, ensuring data integrity and compliance with company policies. 
  • Correctly enter, index and update document metadata to facilitate easy retrieval and reference from document imaging system. 
  • Manage bonus processing, ensuring timely and accurate calculations and distributions. 
  • Manage the employment verification process by receiving and responding to requests from all entities. 
  • Monitor and update credentials of employees to ensure compliance with industry standards and organizational policies. 
  • Regularly assess compliance through audits and reviews.


Education Qualifications

  • Bachelor's Degree in Human Resources or Business Administration, or equivalent work experience may substitute for education Required

Experience Qualifications

  • 1-3 years experience in human resources, preferably in a healthcare setting Required

Skills and Abilities

  • Familiarity with HRIS systems and Microsoft Office Suite.
  • Strong interpersonal and communication skills.
  • Excellent organizational and time management abilities.
  • Knowledge of labor laws and regulations applicable to healthcare.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficiency in conflict resolution and negotiation.
  • A proactive approach to problem-solving and decision-making.
